Distance User Services
Friendly services

The library provides distance user services specifically for users who are not able to access the library directly. Distance users are postgraduate or undergraduate students who reside outside the 200km radius from UWC campus, outside of the boundary of the Western Cape area stretching from Piketberg, Bredarsdorp, Worcester and Veldrif. Distance users must be registered students of the University and must be able to provide proof of identity in the form of a student or staff card.

Students must register in order to make use of this service. Registration forms are available from the Faculty Librarians. For details concerning specific access, services and borrowing privileges applicable to all user categories, please consult the Faculty Librarians or click here.

Post or fax the printed registration form to the address or fax number stipulated on the form.

Available Services

Reference Services
Faculty Librarians will provide assistance and guidance with searching and locating information.

Requests for assistance may be sent to the relevant Faculty Librarian via fax, e-mail or telephone. Queries will be responded to, where possible, within 3 working days after receipt of the request via e-mail, fax, or telephone.

User Education
Distance users (individuals or groups) who visit campus for a temporary period may arrange contact sessions with the relevant Faculty Librarian. Distance users are encouraged to contact their Faculty Librarians to assist with library research support needs.

The Library provides, via its website, online tutorials to assist users in searching the electronic resources. These can be accessed via the Self Learning Zone

Access to other Libraries
Postgraduate students (applicable to Masters and Doctoral students only), who wish to use the services and facilities of a university library in his/her vicinity may apply for a CHELSA (Committee of Higher Education Librarians of South Africa) Letter of Introduction from their Faculty Librarian.

  • Applications for CHELSA Letters of Introduction must reach the Librarian at least one week before the intended visit to the guest library.
  • Applications must list the specific libraries that the user wishes to visit (not more than two per application).
  • CHELSA Letters are valid until the end of the academic year, and are only supplied to distance users with a good borrowing and usage history.
  • Letters of Introduction will be faxed or e-mailed directly to the guest library concerned. UWC Library will contact the user to confirm that the letter has been sent.

Borrowing Items and Obtaining Photocopies

  • All requests for materials (borrowing books or obtaining copies of articles/chapters) may be sent to the relevant Faculty Librarian via fax, e-mail or telephone.
  • Items will be posted or faxed to the user. All postage costs are payable by the user.
  • All postage items will be sent via registered, traceable mail.
  • UWC Library books may not be posted outside of South Africa.
  • Photocopies of articles or chapters of books may be post-ed outside of South Africa , on condition that all postage costs are payable by the user. Photocopies do not need to be returned to the Library.
  • Items on Reserve or prescribed books may not be loaned to distance users.

Materials not available in UWC’s Collection
This specifically refers to materials not directly obtain-able by the user (from a local library or other sources).

Inter Library Loan (ILL) requests should be sent to the relevant Faculty Librarian who will then submit the request to ILL on behalf of the user (using the user’s borrowing details).

OR users can submit online requests directly via Inter Library Loans.

Upon receipt of the item, ILL will forward the item directly to the user.

Library books obtained via ILL may not be sent to distance users outside of South Africa.

Privileges

The following borrowing privileges apply:

  • Undergraduates: 4 books for a period of one month
  • Postgraduates: 10 books for a period of 6 weeks
  • A fine of R1.00 per item per day will be charged for overdue material.
  • Should fines exceed R10.00, borrowing privileges will be revoked.
  • Library material may be renewed a week before the due date, unless the item has been requested by another library user.
  • Renewals may be performed by e-mailing or telephoning the ILL. contact person at jamanuels@uwc.ac.za  or interlending@uwc.ac.za or (021) 959-2900.
  • The library may limit or decline distance services to users who have outstanding library payments.
  • Provision of photocopies to distance users is subject to SA Copyright legislation.
Cost

Courier Services Distance users requiring materials urgently may arrange with a recognized courier company to have the items delivered via courier service. The recipient is required to enter into an independent agreement with the courier company with all courier costs payable by the user to be paid directly to the courier company. Fees and Payments Users will be invoiced for all fee-based service postage, facsimiles, photocopying and ILL. Invoices will be dispatched with items posted or faxed. Payment may be made into the University’s bank account. Proof of payment must be sent to the address below via fax or post.
